PRIMARY RESPONSIBILITIES:

  • Greets all arrivals and notify appropriate staff of visitor’s arrival
  • Maintains professionalism and order in crowded waiting area
  • Screens incoming calls, obtains caller name and routes call to appropriate staff member
  • Take message without prior staff notification of call if staff indicates in advance that they are in a meeting or otherwise not to be interrupted (Exception – emergency)
  • Maintains understanding of Confidentiality Law and how it relates to this position.
  • Answers all lines after no more than four (4) rings. Monitors voicemail messages left in general mailbox and fax system/ forwards faxes to appropriate staff
  • Keeps reception area neat and clean at all times including reading materials.
  • Maintains telephone lists and telephone outstation list
  • Informs IT Department of any problems via the helpdesk email or by calling the IT Manager.
  • Creates and maintains sign in/out sheets for Syracuse office. Maintains and files electronic versions of sign in/out sheets.
  • When requested, maintains agency postage meter and applies postage to outgoing mail, as well as drop mail off at the post office
  • Prepares new hire packets for HR
  • Produces staff ID badges
  • Orders business cards
  • Is backup for the Executive Administrative Assistant to cover incoming mail distribution and logging in cash/checks. May also be asked to take deposits to the bank
  • Signs for all incoming packages and notifies appropriate staff when there is a delivery
  • Performs administrative assignments by the Executive Administrative Assistant and other light office duties required by other department managers
  • Orders supplies for the Deputy Executive Director and the Facilities Department
  • Scans documents for the Finance Department
  • Incorporates best practices regarding confidentiality into all job duties and communications in accordance with Article 27-F and HIPAA, ACR Health policies and procedures and other applicable regulations. Protect agency data in accordance with confidentiality procedures and protocols. Observe and abide by the HIV Confidentiality Law and HIPAA
  • Works in a cooperative, collegial style with all other organization personnel. Conducts oneself in a professional manner as an agency employee and representative
  • Participates as a culturally competent member of the department and agency, which includes having the capacity to function effectively as an individual within the context of cultural beliefs, behaviors, and needs presented by staff, consumers and their communities
  • Assists with the general work of the department, including special projects and general agency programs/initiatives
  • Participates in staff and department meetings and appropriate and applicable training/professional development opportunities
